Position Overview
The Executive Assistant plays a key strategic role in supporting the CEO, coordinating closely with the Board of Directors, and contributing to the smooth functioning of the executive team. This position is ideal for someone who understands the dynamics of executive leadership, governance, and the credit union system - and who brings professionalism, discretion, and strong judgment to every interaction.
The Executive Assistant position focuses on high-level support, meeting preparation, governance coordination, and ensuring the CEO and Board are equipped with the information they need to lead effectively.
Key Responsibilities
Executive Support
- Provide strategic administrative support to the CEO, including preparing agendas, briefing notes, and meeting materials for internal and external meetings.
- Anticipate information needs and help the CEO stay organized, informed, and prepared for internal and external commitments.
- Maintain strict confidentiality and handle sensitive information with professionalism and discretion.
- Make meeting, travel and accommodation arrangements for the Chief Executive Officer as required.
Board & Governance Support
- Serve as the primary administrative liaison to the Board of Directors.
- Prepare and distribute Board and Committee meeting materials, ensuring accuracy, clarity, and timely delivery.
- Record high-quality minutes for Board and Committee meetings, capturing decisions, actions, and key discussions.
- Track and follow up on action items, including updating Committee dashboards and supporting governance processes.
- Support the CEO in maintaining compliance with governance policies and regulatory expectations.
Cross-Team Coordination
- Assist with internal communications, staff announcements, and coordination of executive-level initiatives.
- Build strong relationships across the organization to facilitate smooth information flow and alignment.
Meeting & Preparation Support
- Prepare agendas, briefing notes, and supporting documents for executive and Board-related meetings.
- Ensure meetings run smoothly by coordinating logistics, technology, and materials.
- Maintain organized records, files, and archives related to governance and executive operations.
Qualifications
- Significant experience providing senior-level administrative support, ideally to a CEO, executive team, or Board of Directors.
- Strong understanding of governance processes, including minute-taking, action-item tracking, and preparation of meeting materials.
- Familiarity with the Credit Union system or financial services environment is a strong asset.
- Demonstrated ability to handle confidential and sensitive information with discretion and sound judgment.
- Excellent written communication skills, with the ability to prepare clear, concise, and accurate documentation.
- Strong organizational and time-management abilities, with a proven track record of managing multiple priorities.
- Proficiency with office productivity tools and comfort learning new systems and platforms.
- Post-secondary education in business administration, office administration, or a related field is an asset.
